Spiers AI LLC ("Spiers AI," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit SpiersAI.com, contact us, use Policy TuneUp or PTU Clarity, purchase a product or service, submit a document, receive a report, or otherwise interact with us.

This Privacy Policy applies to Spiers AI websites, forms, products, reports, software, consulting services, and related communications that link to it. It does not apply to third-party websites or services that operate under their own privacy policies.

Please read this Privacy Policy before submitting personal information or uploading a document. By using our services, you acknowledge the practices described here. If you do not agree with these practices, do not use the applicable service.

1 Information We Collect

Information You Provide

We may collect information that you provide directly, including:

• Contact information, such as your name, email address, company name, and other contact details.

• Information submitted through website contact, intake, support, or consultation forms.

• Documents and files you upload for analysis, including insurance policies, declarations, endorsements, and related materials.

• Information contained in uploaded documents, which may include names, property addresses, policy numbers, insurer information, mortgagee information, coverage details, deductibles, and other policy-related information.

• Communications you send to us, including questions, requests, feedback, and support messages.

• Consulting or business information provided in connection with an engagement, proposal, or service request.

• Transaction information associated with a purchase, such as the service purchased, amount, payment status, date, and receipt information.

Payment Information

Payments may be processed by Stripe or another payment processor. The payment processor collects and processes payment-card information under its own privacy policy and security practices. Spiers AI does not receive or store your complete payment-card number or card security code, but we may receive limited transaction information needed to confirm payment, provide the service, prevent fraud, issue refunds, and maintain business records.

Information Collected Automatically

When you use our website or online services, we and our service providers may automatically collect limited technical information, such as your Internet Protocol address, browser and device type, operating system, referring pages, pages viewed, approximate location derived from an IP address, dates and times of access, and website interaction data. This information may be collected through cookies, logs, pixels, or similar technologies.

Information From Other Sources

We may receive information from service providers that support our forms, payments, document processing, cloud hosting, analytics, security, communications, workflow automation, and artificial-intelligence functions. We may also receive information from a person or organization that is authorized to provide it to us in connection with a service.

2 How We Use Information

We may use personal information to:

• Provide, operate, maintain, and improve our website, products, and services.

• Receive, validate, organize, and analyze documents submitted for Policy TuneUp or PTU Clarity.

• Generate and deliver reports, summaries, questions, and other requested outputs.

• Perform consulting, implementation, analytical, or other contracted services.

• Comply with legal obligations, enforce our agreements, and protect the rights, safety, and property of Spiers AI, our users, and others.

• Create aggregated or de-identified information that does not reasonably identify an individual.

We will not use personal information for a materially different purpose without providing appropriate notice and obtaining consent when required by law.

3 Artificial Intelligence and Automated Processing

Certain Spiers AI services use artificial intelligence, large language models, software agents, optical character recognition, automated workflows, and other analytical tools. When you submit a document for an AI-assisted service, relevant portions of the document and related instructions may be transmitted to authorized technology providers so that the requested analysis can be performed.

AI-generated or AI-assisted outputs may contain errors, omissions, or incomplete interpretations. Human review may occur for quality control, troubleshooting, support, security, or service delivery.

Spiers AI does not use automated processing to sell insurance, bind coverage, make underwriting or claim decisions, or determine a person’s eligibility for insurance.

Spiers AI does not use customer insurance documents to train publicly available or general-purpose AI models. We require service providers that process submitted content to use it only to provide, secure, and support the contracted services, subject to applicable agreements and configured privacy settings.

4 How We Disclose Information

We may disclose personal information in the following circumstances:

• Service providers. We may disclose information to vendors that provide website hosting, online forms, payment processing, workflow automation, document extraction, artificial-intelligence processing, cloud storage, email delivery, analytics, customer support, security, and related services. These providers receive information as needed to perform services for us.

• Professional advisers. We may disclose information to attorneys, accountants, auditors, insurers, and other professional advisers when reasonably necessary.

• Legal and safety purposes. We may disclose information when we reasonably believe it is necessary to comply with law or legal process, enforce agreements, investigate misuse, protect rights or safety, or prevent fraud or security incidents.

• Business transactions. Information may be disclosed in connection with a merger, financing, acquisition, reorganization, sale of assets, bankruptcy, or similar business transaction, subject to appropriate confidentiality protections.

• With your direction or consent. We may disclose information when you request, direct, or consent to the disclosure.

Spiers AI does not sell personal information or share personal information for cross-context behavioral advertising, as those terms are defined by applicable privacy law. We do not use uploaded insurance documents for advertising or marketing.

5 Uploaded Documents

You should upload only documents that you are legally authorized to provide and that are necessary for the requested service. Do not upload Social Security numbers, bank-account information, passwords, medical records, or unrelated sensitive information. You may redact information that is not needed for the analysis.

You retain your rights in documents and information you submit. You grant Spiers AI and its authorized service providers the limited right to host, copy, transmit, extract, analyze, format, and otherwise process submitted information as necessary to provide, secure, support, and improve the requested service and to comply with law.

If you submit information concerning another person, you represent that you have the authority to do so and to permit the processing described in this Privacy Policy.

6 Data Retention

We retain personal information for the purposes described in this Privacy Policy, including providing and supporting our services, maintaining quality and security, resolving disputes, enforcing agreements, and satisfying legal, tax, accounting, and recordkeeping obligations.

During the initial launch and evaluation of PTU Clarity, we do not currently apply an automatic deletion schedule to uploaded policy documents, extracted document content, generated reports, or related workflow records. This information may be retained indefinitely until the customer requests deletion or Spiers AI determines that it is no longer needed for service delivery, quality assurance, system testing, security, legal compliance, or business recordkeeping.

Customers may request deletion of their personal information and uploaded documents by emailing hello@spiersai.com with the subject line “Privacy Request.” We may need to verify the requester’s identity and authority before completing the request. Certain information may be retained when reasonably necessary to comply with law, complete a transaction, maintain financial or business records, resolve a dispute, enforce an agreement, prevent fraud, investigate a security incident, or exercise or defend legal claims.

When information is deleted from our active systems, residual copies may remain temporarily in secure backups, system logs, or records maintained by authorized service providers until those copies are overwritten or deleted through their normal retention cycles.

We may also retain aggregated or de-identified information that cannot reasonably be used to identify an individual.

7 Data Security

We use administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, and disclosure. These measures may include access controls, authentication, encryption provided by our systems and service providers, logging, vendor management, and procedures for responding to security incidents.

No method of transmission, storage, or processing is completely secure. We therefore cannot guarantee absolute security. You are responsible for using a secure device and connection and for protecting access to your email account and any report or link sent to you.

8 Cookies and Analytics

Our website and service providers may use cookies and similar technologies that are necessary to operate the website, remember preferences, understand website use, maintain security, and improve performance. Your browser may allow you to block or delete cookies, but doing so may affect website functionality.

Where required by law, we will request consent before using nonessential cookies or provide an appropriate opt-out mechanism. We do not respond to browser Do Not Track signals unless required by law. We will honor legally recognized universal opt-out preference signals when they apply to our processing.

• Confirm whether we process your personal information and obtain access to it.

• Correct inaccurate personal information.

• Delete personal information, subject to legal exceptions.

• Opt out of certain sales, sharing, targeted advertising, or qualifying profiling.

• Withdraw consent where processing is based on consent.

• Appeal a decision concerning a privacy request, when applicable.

• Receive equal service and pricing without unlawful discrimination for exercising a privacy right.

We may need to verify your identity and authority before completing a request. We will respond within the period required by applicable law. An authorized agent may submit a request when permitted by law, subject to verification of the agent’s authority and the consumer’s identity.

We may deny or limit a request when permitted by law, including when we cannot verify the request, must retain information to comply with law, need it to complete a transaction or protect security, or another legal exception applies. If a right to appeal applies, instructions will be included in our response.

10 Communications

We may send service-related communications, including submission confirmations, payment receipts, report-delivery messages, security notices, support responses, and updates concerning a transaction. These communications are necessary to provide the requested service and generally cannot be opted out of while the service is active.

If we send promotional email, you may unsubscribe using the link in the message or by contacting us. We may still send non-promotional communications concerning transactions, security, legal notices, or support requests.

11 Children

Our website and services are intended for adults and are not directed to children under 18. We do not knowingly collect personal information directly from children under 18. If you believe a child has provided personal information to us, contact us so that we can evaluate and, when appropriate, delete it.

Our website and services may link to or integrate with third-party services, including online form, payment, cloud, email, automation, analytics, and AI providers. Those parties may process information under their own privacy policies and terms. Spiers AI is not responsible for the privacy practices of third-party websites or services that we do not control. Spiers AI is based in the United States, and our service providers may process information in the United States and other locations where they operate. Privacy laws in those locations may differ from the laws where you live. Where required, we will use appropriate measures for cross-border transfers.
